The Radiology Clinical Research Imaging Core (RCRIC) provides investigators and study teams with a no-charge initial consultation upon request to discuss project-related imaging services and to answer questions. For an initial consultation, please email us your request.
To initiate a request for radiology imaging and related services:
- Download and complete the Radiology Setup Form (DOC).
- Email the completed form and a PDF of the study protocol to RCRIC.
For radiology exam image copy requests:
- Complete the Radiology Imaging Exam Form (DOCX) and email it to the radiology fileroom at least 2 weeks prior to your request date.
The designated contact will be notified via email within approximately 10 days of receipt of request. The Radiology Setup Form serves to initiate study system setup and identify specific imaging services based on the protocol submitted, and leads to creation of a customized radiology research requisition template for imaging exam or other service ordering purposes that will be provided to the investigator or designated contact.
Fees and Services
Radiology exam image anonymization and copying
Includes standardized intake, QA, compliance review and tracking, retrieval of patient imaging exams, anonymization, copying images to DVD/CD and sending to requested location.
- Rate: $16 per patient exam (retrieval of archived non-digital images from remote site storage entails additional direct cost charge.)
Some research studies require technologists to perform study-related activities that are above and beyond standard duties (e.g., sponsor requirements for phantoms, additional QA images, technologist certification/training for the study, maintenance and/or submission of monitor reports or workbooks, meetings with sponsor representatives). When these requirements are identified in the protocol or in early communication with sponsors, estimated expenses will be incorporated into the study budget at the outset.
- Hourly rate: $65 (Note: This is not an “elective charge.” The service charge will be assessed/budgeted as warranted.)
Include recurring phantom testing, analyses or data-manipulation, protocol optimization that may be non-standard and time intensive, imaging protocol selection and consultation on research options and advice on acquisition of study-related analysis software or minor equipment.
Clinical research associate support (CRA)
Research support staff is available is to assist with smaller studies that may not have its own staff and need additional assistance with proposal or pilot work. Staff can assist with services exam scheduling, patient registration, anesthesia/sedation charge requirements, post-processing of radiology research images, escorting patients to the lab or other locations, CMS Merge entry, data mining, preparation of study reports and forms and other study-related activities as requested.
Administrative Startup Fees
RCRIC provides assistance to investigators and research staff to facilitate the selection, setup, implementation and conduct of research studies involving Seattle Children's. To defray the cost of these support activities, administrative startup fees will be charged on a one-time basis at one of three levels, depending upon the modality and complexity of the imaging studies.*
Simple clinical imaging exams in DX, DEXA, US, during regular hours
Clinical DX and DEXA (complex), nuclear med, PET, CT, regular hours/after hours, large volume
MRI, drug studies, multiple modality studies, with anesthesia-sedation component, non-clinical research studies, regular/after hours, combined research/clinical studies
RCRIC administrative startup fees are charged one time per project, with the first half charged upon issuance of the RSAN, and the second half charged at the first imaging service event. If no research imaging studies are performed over the life of the project, the second half is not charged. The individual and separate facility and pro-fee charge for each imaging scan remain applicable and will continue to be assessed at the discounted research rate.
Seattle Children's consortium groups may elect one of two options to be applied to all projects within the specific consortium:
The entire consortium group is charged a single Level 3 rate every 12 months. The first half will be charged either upon execution of the consortium agreement or during the first month of the Seattle Children's fiscal year, whichever comes first. The second half will be charged at the first imaging service event. If no imaging service is performed within the 12-month period, the second half will not be charged in that year.
Each study under a consortium agreement is viewed as a separate billable unit, and charged at the appropriate level described above.
* RCRIC support charges are reviewed yearly, with rate adustments made as appropriate. Please note that all charges for imaging exams are subject to coding and billing regulatory requirements, Seattle Children's pricing changes and other revisions depending on intensity of workflow/resource utilization.
